General Meeting

Minutes

  1. Ronald Fontenot spoke about the upcoming Crop Walk.  This is a nationwide effort that collects money for the needy, a portion stays in our community, and the rest goes to global efforts to aid the needy. This event will take place on October 14 at 1:00pm.  The walk will go from the Community Park to Rock Springs and back.  Ronald left pre-order forms for shirts, and other literature about the walk.  He also asked for volunteers to provide snacks and assist with the event.
  2. Kathy Smitherman, the PTO President, welcomed all and made introductions of the PTO Board and Committee Chairmen. 
  3. Kathy Smitherman explained the goals for the 2007-08 PTO:
    • More Committee Chair involvement.
    • More Social Events – Planned events include Moye’s first Movie night, a Christmas event, Committee Chair Social, and Spring Fling.
    • Initiating the SAFE program – (Student Aid Fund for Education)  Kelly Cooper explained the guidelines for this program would be as follows:                                   
    • Must impact the Student’s education.
    • Applications will be presented and screened through the Principal, Assistant Principal, School Nurse, and Social Worker.
    • Available to any Moye Family.
    • Aid will only be given when it is not available or fully covered by another source.
    • All other options to find assistance will be looked into prior to providing financial assistance.
    • Establishing a Dream Fund system to replace the old Team Money system.  Kathy explained why this new approach is being taken.  We hope that this new system will be easier to manage, and will make the most of the funds we provide to the teachers.
  4. Kelly Cooper explained that we run our meetings under “Robert’s Rules”.  They state that anyone who wishes to be on the agenda must contact a board member prior to the meeting to in order to be included in the schedule.  Members wishing to speak during a meeting need to raise their hand and wait to be called upon.  Someone must make a motion in order to call for a vote, or to move the meeting along.
  5. Tammy Shirtz presented and went over the treasurer’s report.  Wendi Norsigian moved to accept the report, the motion was seconded and was approved.
  6. Committee Reports
    • Entertainment Book sales are ending.  Everyone needs to turn in their orders and unsold books.
    • Centerfield Park – Had their Moye event on Saturday, we are awaiting results.
    • Papa John’s night will be September 18, then on PTO meeting nights, the second Tuesday of each month.  We were informed that they may not be delivering to the Moye area, and will look into verifying and fixing that.
    • Directory – Robert Lawton reported that we had 629 listings and had sold 378 copies.  The directories were put in teacher’s mailboxes today and will be going home tomorrow.
    • Book Fair – Will be held September 24-28.  Wednesday will be “doughnuts with dad” at 7:30am, and Family night from 6-8pm.  Wendy Bione needs someone to take over for her next year and learn from her this year.
    • Get Smart With Art (GSWA) – Had their first training meeting, will have another on Wednesday, September 12 at 7pm.  They need parents to volunteer.  Art to Remember is off and running, the students and staff are excited about this new opportunity, and Julie Weiss is helping them with their art pieces.
    • Toolboxes – Jane Becker reported that we sold 234 this year, compared to 167 last year, with a profit of $749.00.
    • Recycling – Looking into a competition between the schools for most cartridges recycled.  We will be running the classroom competition again this year.
    • Spirit Wear – Jen Gaab has brought in $6,500 in orders already in this sale.  Orders are due to arrive in a couple of weeks.  The next sale will be in November.
    • Auction – The theme is Las Vegas Nights and will feature both live and silent auctions, mini events, games, dinner and drinks.  It will be held on November 17 from 6-10pm, and is an adults only evening.  Julie still needs volunteers to head the games and transportation committees.  There will be an auction committee meeting on Thursday at 7pm.
  7. New Business
    • Goodsearch –Goodsearch.com offers a no-effort fundraiser, we earn money for something we all do everyday anyway.  By entering Delores Moye Elementary PTO in the designated charity box, we will receive 1 cent per search.  After the first entry, Moye becomes the default charity and doesn’t need to be re-entered each time.  The search engine is powered by Yahoo and has been found to be a great source of information.  The board tested this site over the summer and we have earned a profit so far of $27.82.  Dan Crum suggested setting the school’s computers to this as their default.  Kelly Cooper will look into this for us.
    • Moye Movie Night – We will be hosting our first ever free movie event, it will be held on Friday, September 14 on the east field.  The movie will begin at 7:45pm, with trivia before that at about 7:00pm.  The PTO will be showing High School Musical 2 – the sing along version, and will provide popcorn and lemonade.  Please bring your own blankets and chairs.
    • Our four new teachers will be given $100.00 gift cards to parent teacher tools to start them off and welcome them to our school.
    • We will again this year be providing childcare for our evening meetings throughout the year.
    • Yearbook – The camera is available for committee chairs to take pictures of their events.  It will be in the office along with log book to note the user’s name, date, and event.
    • 501c3 Update – The board will be meeting on Friday to prepare the required paperwork needed to finish filing our application.  More information to follow.
    • Moye’s Anniversary – On October 5, Moye will have its fifth anniversary.  We are planning to celebrate with a giant birthday cake.  Volunteers are being asked to bake and donate 35-40 9x13 unfrosted yellow sheet cakes.  They will be assembled end-to-end and frosted and decorated in honor of this special day.  The cake will be on display in the cafeteria during lunches for the students to see, and then will be served later in the day.

Spirit Fridays – We encourage all students to wear their Moye colors and/or Spirit Wear on Fridays.  On select, secret, Fridays treats will be given to those participating.

Attendance Prizes- We had two winners of a $10.00 Art To Remember Gift Certificate, they were Dawn Lurk, and Mary Mahan.

Meeting adjourned at 8:40 pm – there were 44 members in attendance.

The next PTO meeting will be held on October9,
at 12:30 in the intermediate art room at Moye.
