General Membership Meeting Minutes
March 13, 2007
- Meeting called to order at 7:04pm in the library.
- The Daisy Troop presented Get Well cards that they had made for Michelle Wallace. They were accepted on Michelle’s behalf by Julie Weiss who will pass them along to her.
- Minutes from the February were not presented and were tabled until the next meeting.
- The Treasurer’s Report was reviewed. A motion to approve the report was made by Kelly Cooper, it was seconded and approved. Committee spending deadline is set for March 30. All Team money and Committee receipts and invoices will by due by this time.
- Discussed next year’s PTO.
- All Chair people were given right of first refusal to continue in their same positions as next year.
- The following openings are known to be available for next year: Auction co/chair, Student Directory, Santa’s Cottage, Spirit Sales, Staff Appreciation, and Reading Counts co/chair.
- Next year’s Auction date was set for November 17, 2007, and Auction Chair Julie Jones-Kloeckner will place the deposit on the Katy Cavins center.
- Nominations for the Executive Board will be made at the April 10th meeting, with elections to be held at the May 8th meeting. Information on these positions will be available on the website.
- Committee Reports
- Family Reading Night – About 75 families attended. New ideas for next year’s programs will be considered. The MILK ID program was a great draw. They did 85 IDs and they will return again at Spring Fling. They plan to have more helpers to make the process run more quickly.
- Staff Appreciation – Luncheon will be held May 3. A meal of soups and salads will be offered, along with complimentary massages for the staff. Sara Beth LePere is still seeing volunteers and donations for this event.
- Spring Fling – (April 27 5:30-8:00pm) Kelly Cooper reported that the city’s new First Responder’s Truck will be debuted at this year’s Fling. We will have a “safety section” including this new vehicle, other emergency vehicles, and the Milk ID program. Costs for this year’s ride bracelets will remain at $10.00. Sodexho will be donating hotdogs, buns, condiments, and kitchen help. We will have extra face painters on hand, and are looking into doing cotton candy too. Kelly will be sending out an e-mail requesting volunteers to help with this event.
- Kindergarten Musical – Allison Rhodes reported that we sold 87 DVDs of the musical with a projected profit of approximately $589.00.
- Smokey Bones – results are still pending.
- Centerfield Park - Moye fundraiser will be held March 31 from 10:00am – 2:00pm.
- Scrapbook Factory – Fundraiser was held last weekend, we don’t have results yet.
- School Tool Box – This year’s boxes will include a $5.00 gift card, 1 free book from scholastic, and a coupon for $1.00 off of next year’s purchase. Order forms are due in by registration. Last year we sold 167 tool boxes, for a profit of $300.00. With extra incentives this year, if we sell the same amount, our profit would be expected to be about $425.00.
- 501c3 Update – We will be using the PTO Presidents Council as the “parent organization” to file for the 501c3 status. EIN numbers for this group and one other school are needed before we can file for the group tax exemption.
- Playground Update – Purchase of safety mats for under the playground swings and slides were reviewed and plans for the upcoming playground additions were discussed. Fulford will be re-grading the fields, putting in an asphalt running trail, and doing the drain tile. Parks Department will begin work on the soccer and baseball fields in the spring so that they will be ready for next spring. We will be covering the cost for soccer goals and the baseball backstop at an estimated cost of $6,700. Last year’s $5200 CD has been reinvested to come due next spring when it will be needed. Jane Becker proposed that we purchase the safety mats for under the swings this year, and put the remainder of this year’s budgeted playground money into an additional CD in order to have those funds available to cover the additional costs. This motion was put to a vote and passed unanimously.
- New Business
- Michelle Wallace Collection – So far, $150.00 has been collected for Michelle. We plan to spend this at Meal Makers to provide meals for their family during this difficult time. Julie Weiss will be taking the Wallace children in to choose and prepare the meals of their choice.
- Referendum – A speaker on the upcoming Freshman Facility referendum will be speaking to us after the April meeting. All those who wish to stay for this information are welcome.
- GSWA Show – Will be held on April 19, and will be tied into the Scholastic Family Reading Night. Julie Weiss is requesting volunteers to help hang the art.
- Upcoming Fundraisers – Chuck E Cheese on April 10, and Johnny Rockets on May 7.
- Mrs. Burns introduced the staff members who were in attendance – Carol Moore, Kathy Scott, Kelly West, and Susan Weiser. Mrs. Scott presented us with Thank You notes from her class for their cartridge recycling prize party.
Meeting was adjourned at 8:10pm.
